01

Website and end-to-end club management

The club had to handle growing numbers of memberships, payments and family-staff interactions using scattered tools. This fragmentation slowed administration, increased the risk of errors and made financial oversight less reliable.

The real need was more than a website. The club needed a complete operational system connecting recruitment, registration, payments, attendance and administration in one clear flow.

The objective was to turn club management into a reliable, measurable process that could be maintained season after season.

02

Approach

We structured the solution in two layers. The first is a public website and a registration journey designed to make joining easier. The second is a club management application for coordinating day-to-day operations.

The membership module handles real cases: parent and child registrations, payments through Stripe, Pass Sport, cheque and cash, with clear statuses at every stage. For coaching staff, a mobile-first workflow supports attendance and follow-ups from a smartphone.

04

Technical architecture

Bubble provides the application foundation so the system can evolve quickly while keeping data and access rights clearly governed. Club records were structured to avoid inconsistencies between administration and on-site activity.

Critical flows use explicit states: request, approval, payment and activation. This model reduces ambiguity in day-to-day work and simplifies financial checks.

05

Outcomes

The club now has a unified view of members, payments and on-site operations. Follow-up workflows have made daily management smoother and given office and coaching teams better visibility.

The main benefit is structural: fewer manual tasks, more reliable administration and consistent work across office staff, coaches and families.

8-12h Recovered each week from administration, follow-ups and exports.
