SBR Bioprog equipped contemporary dental practice

01

Website and automated member operations

SBR needed better oversight of its members, training and conference registrations, and regular communication with orthodontists. The need went beyond a public website: it required a reliable operational system able to handle administrative work without overload.

Before the redesign, information was scattered across membership statuses, histories, follow-ups and event data. The result was limited overall visibility, a heavy manual workload and inconsistent execution.

The project objective was to centralise data and systematise workflows, moving from reactive administration to structured management.

02

Approach

We approached the system as two complementary layers. The first is a public website focused on registration, access to training and institutional information. The second is an Airtable foundation designed as an administrative operating system.

The Airtable database brings together the member directory, statuses, interaction history, membership fee reminders, email and SMS campaigns, supplier tracking and profitability by event.

Our solution

Member directory

  • Statuses, histories and targeted communication
  • Membership fee reminders in one place
  • Combined view of members and registrations
  • Structured data to avoid duplicates

Conference management

  • Supplier, cost and profitability tracking
  • Training and conference registrations in one place
  • Useful statistics for decisions
  • More reliable financial view by event

Automated certificates

  • Generation through Zapier after training
  • Checks before certificates are issued
  • Automatic delivery to participants
  • Full traceability of automated actions

04

Technical architecture

The system uses a normalised data model covering members, sessions, registrations, payments and certificates. This reduces duplicates, improves consistency across teams and makes histories easier to use.

Zapier automations are triggered by explicit business events to limit incorrect sends and retain a full record of automated actions.

05

Outcomes

The team now has comprehensive oversight of members, registrations and finances linked to conferences and training. Reminders and required documents are automated, reducing administrative work and speeding up delivery.

The main benefit is structural: more reliable data, faster processes and a stronger basis for financial and operational decisions.

Airtable Central database for members, statuses, events and histories.
Zapier Document and communication automations tied to business statuses.
Management Combined visibility into memberships, training, costs and profitability.

06

Ongoing delivery

Cadence

Decisions

Decisions guided by real impact on administration, communication and events.

Evolution

Active backlog to keep the system reliable as volume grows.
